Privacy Policy
Last updated: November 25, 2025
This Privacy Policy explains how the Otto Discord Bot ("Otto" or "the Bot") collects, uses, and protects information when you use the Bot or related services.
1. Information We Collect
Otto only collects the minimum information required to provide its features. This may include:
- Discord user IDs, guild (server) IDs, and channel IDs.
- Moderation data such as warnings, strikes, timeouts, or bans.
- Server configuration data (e.g., suggestion channel, welcome channel, log channel).
- Feature-specific data, such as:
- Check-in entries for mood tracking.
- Suggestions submitted via suggestion commands.
- Basic join/leave data for welcome or farewell messages.
Otto does not intentionally collect email addresses, passwords, or other sensitive personal information. All data stored is based on identifiers provided by Discord's API.
2. Message Content
Otto does not log all messages sent in a server. However, certain features may temporarily or selectively store content, such as:
- The most recent deleted message per channel for commands like
/snipe. - Message content submitted voluntarily via commands (e.g., suggestions, check-ins).
This content is used only to provide the requested features and is not sold or shared with third parties.
3. How We Use Collected Information
Information collected by Otto is used solely to operate and improve the Bot's features, including:
- Handling moderation events and logs.
- Storing server-specific settings and configuration.
- Providing mental-health-friendly tools such as check-ins.
- Enabling suggestion systems and feedback tools.
- Preventing abuse and troubleshooting issues.
We do not sell or rent user data to third parties.
4. Data Sharing
We will not share your data with third parties except in the following limited circumstances:
- To comply with valid legal requests, such as a court order or law enforcement inquiry.
- To cooperate with Discord in enforcing their Terms of Service or handling safety issues.
- When you explicitly post content publicly (e.g., a suggestion in a public suggestions channel).
5. Data Retention
Data is retained only as long as it is needed for the Bot to function properly. Examples:
- Moderation logs may be stored until cleared by server staff.
- The last deleted message for snipe features is overwritten each time a new message is deleted in that channel.
- Check-in entries and suggestions may be stored until removed by the user or server administrators, depending on implementation.
If Otto is removed from a server, related stored data may be deleted as part of routine cleanup.
6. Data Access & Removal
In many cases, server administrators can manage or delete data (such as warnings or logs) using the Bot's commands. If you would like specific data removed (for example, check-ins or suggestions), you may request server admins or contact us directly.
Server owners may request removal of server-specific data by contacting us through the support server.
7. Security
We take reasonable steps to protect stored data from unauthorized access or misuse. However, no system is completely secure, and we cannot guarantee absolute security.
Access to stored data is limited to those who need it to maintain or improve Otto.
8. Children's Privacy
Otto is intended for use on Discord, which requires users to be at least 13 years old (or the minimum age in their country). Otto does not knowingly collect information from children under this age. If you believe data has been collected from a child in violation of these rules, please contact us so we can address it.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When changes are made, the "Last updated" date at the top of this page will be revised. Your continued use of Otto after any changes means that you accept the updated Policy.
10. Contact
If you have questions about this Privacy Policy, data usage, or data removal, you can contact us via the support server:
